Camberley Rugby Football Club – Holiday Camp Terms & Conditions (Pitchero)
1. Bookings & Payments
The camp is for children aged 7-14
All bookings must be made via Pitchero.
Full payment is required at the time of booking to secure a place.
Bookings are non-transferable unless agreed in writing by Camberley RFC.

2. Participant Information
Parents/guardians must ensure that all personal, medical, dietary, and emergency contact details are accurate and kept up to date on Pitchero.
Camberley RFC reserves the right to refuse or withdraw participation where safeguarding, welfare, or behavioural concerns arise.

3. Safeguarding & Behaviour
All holiday camps are delivered in line with RFU Safeguarding and Player Welfare Policies.
Participants are expected to behave in accordance with Camberley RFC values and the RFU TREDS (Teamwork, Respect, Enjoyment, Discipline and Sportsmanship) principles.
Camberley RFC reserves the right to remove a participant for unsafe or disruptive behaviour. No refund will be issued in such circumstances.

4. Drop-Off & Collection
Parents/guardians must adhere strictly to the advertised drop-off and collection times.
Children may only be collected by named, authorised adults. Identification may be requested.

5. Late Collection Policy
Timely collection is essential for safeguarding and staff welfare.
• A late collection fee of £10 per 15-minute period (or part thereof) will be charged for any child collected after the published finish time.
• Late collection fees will be charged automatically via Pitchero or invoiced following the Camp.
• Repeated late collection may result in refusal of future bookings.
• Where a child has not been collected 30 minutes after the scheduled finish time, Camberley RFC will follow its safeguarding escalation procedures, including contacting emergency contacts and, where necessary, external agencies.

6. Medical Consent
By booking via Pitchero, parents/guardians consent to their child receiving first aid and, if required, emergency medical treatment during the Camp.

7. Photography & Media
Photographs or videos may be taken during Camps for coaching, promotional, or safeguarding purposes.
Media consent preferences must be recorded on Pitchero at the time of booking.

8. Cancellations & Refunds
Cancellations made more than 14 days before the Camp may be eligible for a refund, less any administration fee.
No refunds will be issued for non-attendance, late arrival, or early departure.
Camberley RFC reserves the right to cancel Camps due to unforeseen circumstances, in which case a full refund will be issued.

9. Liability
Camberley RFC accepts no responsibility for loss or damage to personal belongings.
Nothing in these Terms excludes liability where it cannot be lawfully excluded.

10. Acceptance of Terms
By completing a booking on Pitchero, parents/guardians confirm that they have read, understood, and agreed to these Terms & Conditions.
